Why You Shouldn’t Always Send A ‘Thank You’ Email (Right Away) - Forbes

People are trained to say “thank you” or send a “thank you” email soon after a conversation or digital information exchange. It has been ingrained in you that being polite means being timely. While this is appropriate for many instances, it may not be helpful to you in all instances. Here are two reasons why you may want to fight the urge to immediately send a “thank you” email:

1.     You know from experience that the other person tends to forget about requests, or they get lost in a mass of emails.

If you know that the recipient has a lot of responsibility and tends to forget about your inquiry or request, wait for a couple of days to send a “thank you” email. If you delay sending a “thank you” for two to three days, this “thank you” email can act as a reminder to the recipient to satisfy your request, whether that is reviewing a document or making an introduction.

2.     You have already said “thank you,” and you don’t want to make a withdrawal from your relationship capital.

If you have already said “thank you” in your previous message, ask yourself whether you really need to say “thank you” again. It usually does not add anything except another email in the other person’s inbox. Too many emails in one’s inbox can create unnecessary anxiety and stress.

Avoid creating stress for the other person by not having another or unnecessary email in their inbox. Send an email when it counts and when there is something of substance to work on and respond to.

Sometimes, it can be helpful to wait to say “thank you” or not say it at all. If the recipient tends to forget requests or inquiries, use a “thank you” note days later as a reminder for the person. If you have already said “thanks” in your original email, leave it at that and don’t clutter the other person’s inbox.
